Job Summary

As an Automation Architect, you will be pivotal in shaping the process optimization and automation strategy across various domains, including sales, research, system design, and support. Reporting directly to the CEO, you will work closely with sales teams, project managers, and our implementation specialists to craft innovative technical solutions, and lead system and workflow automation design for new and existing projects. Your expertise will guide the adoption and implementation of the Operational Maturity and Experience Framework (OMEF), enhancing project delivery and managing continuous improvement efforts.

You will start part-time as a contractor (1099), with the opportunity to grow into a full-time role as soon as possible.

Key Responsibilities

  • Strategic Leader: Lead in scoping projects, understanding solution viability, and guiding the sales team through both scoping and flat-rate projects using the OMEF.
  • Research: Investigate, document, and disseminate knowledge of automation tools, business processes, and up-to-date solutions, ensuring efficient service delivery and avoidance of redundant efforts by staying on top of the industry.
  • System Design and Support: Architect and approve new projects and system structures, provide context and support for ongoing projects, and lead continuous improvement opportunities.
  • Client Engagement: Employ the OMEF to define project scope, identify improvements, and ensure a cohesive understanding of project objectives and strategies.
  • Team Collaboration: Engage in regular meetings with the sales team, other Automation Architects, internal specialists, and internal stakeholders to align on initiatives, share insights, and drive forward the client’s automation and operational improvement goals.
  • Process Documentation: Contribute to the creation of strategy documents, continuous improvement plans, and project workbooks to streamline and document processes.

Frequent Obligations:

  • Monthly: Client meetings for Continuous Improvement planning, AA + Sales strategy sessions.
  • Weekly: Operational Calls, Production Calls, Internal Client meetings, and AA team collaborations.
  • Daily: Engage in activities and communications crucial to project success and team coordination. Review daily stand-ups and sales pipeline comments to stay updated on both leads and current client’s needs.

The Candidate We're Looking For:

  • Systems Expertise & Technical Skills: Possesses a deep understanding of CRM systems (HubSpot, Ontraport, Salesforce), API integrations (native, 3rd party, custom, iPaaS), workflow orchestration and automation, and process optimization. Skilled in creating Entity Relationship Diagrams (ERD) and Business Process Model and Notation (BPMN) to detail and optimize processes.
  • Communication & Sales Support: Demonstrates strong communication skills both internally and with clients. Proven ability to support sales efforts by helping close sales-qualified deals, understanding client needs, and translating them into actionable solutions.
  • Problem-Solving & Innovation: Takes a systemic, holistic approach to systems design, excelling in research, problem-solving, and innovation within the automation landscape to deliver client-centric solutions.
  • Data Analysis: Analyzes system data and metrics to make informed decisions and create measurable OKRs for project success, driving continuous improvement.
  • Leadership & Collaboration: Guides the production team in implementing technical solutions, ensuring feasibility while fostering collaboration to meet client objectives.
  • Adaptability: Thrives in a fast-paced, dynamic environment, embracing ambiguity and contributing proactively to the team’s growth and success.
